Essential Job Responsibilities:
- Provide reception assistance (i.e. greeting patients, answering calls, directing calls, etc)
- Schedule patient appointments/followup visits
- Call patients to remind them of upcoming appointments
- Responsible for patient checkin/checkout
- Answer all patient questions to ensure full patient understanding
- Receive and maintain all necessary patient files as well as make sure they are organized/up to date
- Maintain patient confidence and protect operations by keeping information confidential
- Manage schedules, rescheduling, and cancellations
- Obtain insurance information and verify eligibility
- Properly communicate patient arrival to the technician
- Effectively manage and direct patient flow
- Maintain a clean workspace (disinfect/sanitize as required)
- Collect necessary patient paperwork and information upon arrival
- Check referrals prior to the appointment
- Collect CoPayments
- Perform assistance to physicians, supervisors, and clinical staff

Primary Responsibilities:
- Oversee the daily office operation
- Address staff issues and ensure compliance with company and regulatory policies, procedures, and practice standards
- Establish rotation and allocation of staff to ensure effective patient care
- Serve as point person for patient inquiries and complaints and ensure resolution
- Oversee new position management, job descriptions, interviews, onboarding, and employee reviews
- Provide leadership, counseling/mentoring, and motivation to ensure a high level of employee engagement
- Process improvement – look for methods to improve processes that have a positive impact on budgets, productivity, and quality of service
- Business Planning – Develop a business plan in conjunction with the Operations Team and Medical Director; Make recommendations for implementation including timelines
- Monitor major equipment needs for current and future service lines, associated software, and maintenance
- Monitor compliance issues, track, report, and address compliance issues through the corporate compliance officer, and report quarterly compliance reports
- Manage IT/EMR system and the hardware/software needs of the clinic
- Ensure accuracy of scheduling
- Oversee office and medical supply purchases and capital needs requests
- Collaborate with other departments including Marketing, Human Resources, Billing, and Call Center
- Serve as subject matter expert to positively contribute to operations meetings, compliance, workplace safety, and other projects
Required Knowledge, Skills, and Abilities:
- Ability to multitask with a high degree of organization and attention to detail
- Strong customer service skills
- Ability to resolve issues, build working relationships, and clerical staff training
- Strong interpersonal, oral, and written communication skills

Education and Experience:
- Proven record (5+ years) of successful management of staff preferably within the healthcare industry and/or combination of comparable education (Master’s Degree in related field)
- Multi Clinical management experience preferred
- A valid driver’s license required

- Coordinate and schedule surgical procedures for patients
- Liaise with patients, physicians, and other healthcare professionals to ensure a smooth scheduling process
- Manage phone systems and handle incoming calls related to surgical scheduling
- Obtain necessary patient information and ensure accurate documentation
- Collaborate with the surgical team to ensure all necessary resources are available for each procedure
- Provide support and assistance to patients throughout the surgical process
- Maintain confidentiality and adhere to HIPAA regulations
Qualifications:
- Previous experience in a healthcare setting, preferably in surgical scheduling or coordination
- Knowledge of medical terminology and procedures related to surgery

As an Ophthalmic Scribe, you'll be an integral part of our eye care practice. You will be responsible for accompanying the Physician into the exam room and accurately documenting the patient-provider encounter. The primary goal is to increase the efficiency and productivity of the physician you will be working for. Our ideal candidate will be a compassionate, detail-oriented team player with great organizational skills. As an Ophthalmic Scribe, your responsibilities will include:
- Accurately and thoroughly document medical visits as they are being performed by the physician.

- Work with the Physician to complete and submit medical records
- Perform basic ocular screening and patient history
- Assist in the efficient flow of patients through sequence and evaluation
- Review with the patient, written instructions as indicated by the physician
- Perform clinical and administrative duties as directed
